Grants & Financial Coordinator/Specialist

Department of Neuroscience

Brown University | Providence, Rhode Island

The Department of Neuroscience is seeking a Grants and Financial Coordinator or Grants and Financial Specialist, for its Research Administration group. Applicant qualifications will determine the grade to be filled.

 

Grant & Financial Coordinator (Grade 8):

This position provides high-level administrative pre/post award and financial services to the Department of Neuroscience as part of our grant/financial management team. Most frequent contacts within the department are with: Chair, Executive Officer, faculty, postdoctoral associates, graduate students, and administrative staff members.
Prepare and review grant proposals for department submissions using COEUS grant management tool and sponsor submission tools. Coordinate the submission of new and continuing grant proposals by preparing budgets, reviewing and processing awards, interpreting and ensuring compliance with award terms and conditions, and participating in ongoing training provided by OSP (Office of Sponsored Projects). Post award management of grants/contracts by providing guidance regarding sponsored project issues, budget management, expenditure review, forecasting expenses and communicating regularly with principal investigators (PI’s).
Reconcile accounts in accordance with federal and nonfederal guidelines, audit accounts, and create monthly analytical reports for PI’s. Effectively communicate award and financial policies to PI’s and research staff. Provide monthly grant expense projections. Use WorkDay software financials to assist with payroll costing, effort certifications, summer salary, journal entries, financial reporting, subcontract requisitions and expense approvals. The person in this position handles confidential information and is expected to maintain and secure privacy.

 

Qualifications:

Education and Experience
Bachelor’s degree required. A degree in Accounting, Finance, Public Health, Biology, Health Science, Science, Engineering or Math field is preferred. Or, equivalent combination of education and experience.

• Strong organizational, administrative, and time management skills.
• Proficiency in Microsoft Office Programs (Word, Excel, PowerPoint), Web based programs and tools, Gmail and related Google applications, FileMaker, Adobe Acrobat Pro.
• Excellent math skills.
• Good customer service skills and attitude.
• Effective communication skills – both oral and written – to elicit and communicate information, to analyze data, and to prepare/present clear, informative, and concise materials.
• File management skills.
• Ability to work under pressure in a deadline-oriented environment.

Grants & Financial Specialist (Grade 9):

This position provides comprehensive pre-and post-award management and financial services for the Department of Neuroscience, Chair, Department Manager, Finance Manager, Faculty, and graduate students. Independently prepares and reviews sponsored award proposals using knowledge of University and sponsor rules and regulations using InfoEd, COEUS award management systems, Grants.Gov, Workspace, eRA Commons, Fastlane and other sponsor submission tools. Manages a portfolio of sponsored research funding by

 

reviewing, interpreting, and ensuring compliance with award terms and conditions. Provide guidance regarding sponsored project issues, budget management, expenditure review, financial reporting, and participation in internal and external training. Manages Gifts, Endowments, and other unrestricted internal funding sources within the portfolio. Reconcile accounts in accordance with federal and nonfederal guidelines, audit accounts, and create analytical reports for the Principle Investigators, Department Chair, Department Manager and Finance Manager. Effectively Communicates award and financial policies to students, faculty and staff. Review and approve transactions submitted in Workday and via PCard, ensuring compliance with sponsor guidelines. Provide guidance to Neuroscience staff regarding allowability, and allocability of charges. Performs other duties as required. Provides backup support to the department in the absence of the Finance Manager.

 

 

Job Requirements

Qualifications:

Education and Experience

Bachelor’s degree with 2-4 years of experience in research administration or accounting/financial/budgeting experience, or equivalent combination of education and experience.  A degree in Accounting, Finance, Public Health, Science, Engineering or Math field is preferred.

Experience with proposal preparation with federal and non-federal grants and using the InfoEd/Coeus grants management (or similar) system

Familiarity with eRA Commons, NSF Fastlane, Research.gov and/or Grants.gov preferred

Higher-Education or non-profit work experience preferred

 

Job Competencies

Highly proficient in Microsoft Office Programs (Word, Excel, Power-Point), Google Docs, Adobe Acrobat Pro, as well as other web-based programs

Excellent financial skills as well as familiarity with OMB federal circulars, federal agencies’ policy and procedures, and other relevant federal and non-federal agencies’ practices.

Demonstrated ability to display positive behaviors, awareness and willingness to respond to customer needs, requirements and expectations.

Excellent communication skills, both written and oral to elicit and communicate information, to analyze data, and to prepare and present clear, informative, and concise materials.

Possesses a willingness and ability to support a diverse and inclusive campus community
